1. Experiment, Learn & Discover

At Rppl, we encourage hands-on learning. The workspace lets you explore features and learn through trial and error. You can’t break anything, so don’t worry.

So go ahead — click, create, record, and learn by experience.

2. Your Invitation

You’ll get an email invite from Rppl.

  • Click Join Now to accept in your browser.
  • The inviter will add you to their Rppl workspace, giving you full access.

Rppl is designed for productive, calm workdays. This guide walks you through its layout and tools step by step.

3. Rppl sign-in

Once you’ve accepted your invitation, you’re all set to jump in. From now on, just head to the top right-hand corner of the screen and click Sign in whenever you want to open Rppl — quick, easy, and right where you left off.

4. Understanding the Rppl Layout

Here is a high-level overview of your Rppl workspace.

4.1 Left Sidebar

The sidebar is your navigation hub. It lists items from top to bottom:

  • Rppl (Home)
  • Metrics
  • Collab
  • Tasks
  • Jams
  • Notes
  • Notifications (Bell Icon)
  • User Status Indicators at the bottom

A description for each section is provided below. The sidebar remains consistent across the platform, making it easy to switch between conversations, meetings, and projects.

4.1.1 Rppl (Home)

On the left sidebar, the first icon you’ll see is R dot (·) — your Rppl home.

When you hover over R dot, it transforms into a plus (+) icon.

Toggle Private ↔ Public and manage access roles (Viewer/Editor/Owner).

Selecting the plus opens a quick-create menu with four options.

4.1.1.1 New Jam – start a new collaborative space.

When you select New Jam from the R dot (·) menu, Rppl opens a fresh workspace within the Collab page — your main working area.

A new Jam begins as Untitled Jam. You can rename it at any time.

Left-hand side: Jam details

On the left, you’ll see:

  • Untitled Topic – rename this to match your Jam’s title.
  • Objective – describe what you’d like this Jam to achieve.

Right-hand side: Jam controls

Along the right edge of the Jam, you’ll find:

  • Set Deadline – choose a target date for completion.
  • Owner – view or assign who’s responsible for the Jam.
  • Share – invite others to collaborate.
  • Ellipsis (⋯) – access extra Jam options.

Selecting Set Deadline opens an edit window with three sections:

  • Channel – choose which channel the Jam belongs to (for example, My Jams or a specific team channel).
  • Title – give your Jam a clear name.
  • Tag – search for or add a tag to help organise and find the Jam later.

Once you’ve added the details, click Save Changes to confirm your setup.

New Jams at a Glance

4.1.1.2 New Call – begin a live conversation.

You can start a New Call from the R dot (·) quick-create menu.

When you launch a call, Rppl automatically links it to the context you’re in — so every conversation stays connected to the right Jam or Collab.

When you click New Call, a setup window appears with four key options:

  • Name the Call — Every new call begins as Untitled Call. Give it a descriptive title to find it easily later.
  • Public or Private — Calls default to Public; toggle to Private when you need to limit access.
  • Participants (for private calls) — Choose team members or contacts who can join.
  • Date & Time — Defaults to Instant Call. Switch to Scheduled Call to open Smart Schedule:
    • Select a date and time.
    • Choose a time zone from the drop-down list.
    • Confirm to schedule your call.

Once preferences are set, click Create Call to finalise.

New Calls at a Glance

4.1.1.3 New Task – create a task and assign it if needed.

You can create a New Task from the R dot (·) quick-create menu.

When you click the plus (+) icon and select New Task, Rppl opens a fresh task page. By default, the task appears in your Inbox until you move it elsewhere.

Left-hand side: Task content

  • Inbox – the task’s starting location.
  • Description – a free-text box where you can describe the task in your own words.
  • Add File – attach relevant documents.
  • Add Video – include a short video background or explanation.
  • Discussion – a running comment thread where anyone invited to the task can share updates or feedback.

Right-hand side: Task status and details

  • Status drop-down (▼) with three options: Backlog, In Progress, Done.
  • Details panel with editable fields:
    • Assignee – type to search and assign a user.
    • Tags – search or add a tag to organise related tasks.
    • Priority – choose from six levels: None, Urgent (🔺), High (⏫), Medium (🔼), Low (🔽), Minor (⏬).
    • Due Date – specify the completion date.

You can add additional properties or fields when needed.

New Tasks at a Glance

4.1.1.4 New Note – jot down an idea or reference item

You can create a New Note from the R dot (·) quick-create menu.

When you click the plus (+) icon and choose New Note, the note opens in the middle panel of Rppl.

Note types

Use the two downward arrows (▼▼) at the top to toggle between:

  • Private Notes – visible only to you.
  • Public Notes – visible to anyone with the right access.

Main panel: writing and saving your note

  • A new note begins as Untitled Note. Rename it to your own heading.
  • Use the free-form block to write ideas, lists, or reflections.
  • Search within Notes using the built-in search bar.

Right-hand action icons:

  • Save (💾)
  • Share (🔗)
  • Ellipsis (⋯) for extra options.

Sharing and permissions

Clicking Share opens a panel that lets you:

  • Add participants with Viewer, Editor, or Owner roles.
  • Review People with Access and their roles.
  • Adjust General Access to limit or expand visibility.

Additional options (⋯)

Click Save once your title, content, and sharing choices are set.

Using R dot to Get Started

From here, you can use R dot (·) to create the key building blocks of your Rppl workspace — Jams, Calls, Tasks, and Notes. Each serves a different purpose, but all are connected so your ideas, actions, and discussions stay linked.

4.1.2 Metrics

The Metrics page is the second item on Rppl’s left sidebar. Clicking it opens a personalised dashboard showing your activity, progress, and engagement trends.

The top of the page has a search bar, and the layout greets you before showing performance insights.

Sections include:

  • Recent Jams — your most recently active Jams for quick access.
  • Productivity Trends — compare performance across quarters, including Total Jams, Total Topics, Completion Rate, Topics per Jam, and Sentiment Score with trend arrows.
  • Calendar Integration — view Google and Microsoft calendars combined so you see meetings and deadlines without switching apps.
  • Engagement Overview — quick sentiment filters: Happy (teal), Neutral (grey), Unhappy (red), Needs a Call (orange) across Last 3 Months, Current Quarter, or Last Quarter.
  • Upcoming Events — key meetings pulled from your synced calendars.
  • Topic Completion — pie chart with completed vs pending topics, including number of topics, number of Jams, completion dates, and async efficiency percentage.
  • Upcoming Deadlines — tasks and topics approaching due dates.
  • Notifications — up to four notifications per block. Use navigation arrows to load more. Each notification shows description, date, and time. The ellipsis menu offers:
    • Mark all as read
    • Mark all as unread
    • Delete all read
    • Delete all notifications

4.1.3 Collab

Collab is the third sidebar item. Clicking it opens your main collaboration space — shared Jams, Calls, Tasks, and Notes live side by side.

4.1.4 Tasks (Actions and Boards)

Clicking Tasks opens your workspace overview. The panel lists Rppl, followed by:

  • Inbox — new or unassigned tasks to review.
  • To-do — tasks assigned to you; clicking expands the main panel with your current work.
  • Boards — visual grouping of tasks. The drop-down has:
    • Add Board
    • Browse Boards
    • Create New Board

Boards keep work organised and let you separate projects or focus areas.

4.1.5 Jams (Meetings and Pre-work)

Clicking Jams lists every Jam you’ve participated in.

At the top you’ll see All Jams and a plus (+) icon that opens the quick-create menu (same as R dot). The Jam table includes:

Each Jam page shows the topic, objective, and linked Tasks, Calls, or Notes. You can update progress or share materials without leaving the Jam.

4.1.6 Notes (Shared Documentation)

Click Notes to open the note workspace.

At the top you’ll find a New Note button with options for Private or Public notes.

The middle panel includes:

  • Search bar (🔍) to find notes quickly.
  • List of Private and Public notes grouped separately.
  • Add Note block at the bottom for new entries.

When creating a note:

  • Title it by replacing Untitled Note.
  • Use the free-form content area for ideas or summaries.
  • Save with 💾.
  • Share via 🔗 to set Viewer/Editor/Owner roles.
  • Use ⋯ for history or delete.

Sharing lets you add participants, check People with Access, and adjust General Access visibility.

4.1.7 Notifications

Notifications live behind the bell icon (🔔) near the bottom of the sidebar.

Clicking it opens a panel with all your alerts from Jams, Calls, Tasks, and Notes. Each entry shows a short description, date, and time.

Under the Notifications tab you can:

  • Mark all as read
  • Mark all as unread
  • Delete all read
  • Delete all notifications

4.1.8 User status and settings

At the bottom of the sidebar you’ll see your name with a status dot.

Clicking your name opens a panel showing your name, email, and options:

  • Settings
  • Invite Members

Below those are quick tools:

  • Online status (🟢 Teal = Online, 🟡 Yellow = Away, 🔴 Red = Do Not Disturb, ⚪ White = Invisible).
  • Custom status with emoji, message, duration, and optional autoreply.
  • Support form – subject, description, file attachments, send directly to Rppl Support Desk.
  • Change Log – track product updates, features, and bug fixes by version/date.
  • Log Out – sign out safely.

Wrapping Up the Left Sidebar

The left sidebar is your navigation anchor — from R dot through Notifications and User Status, everything stays within easy reach. Once you know it, the middle panel becomes your workspace for collaboration.

4.2 Middle Panel — The Rppl Screen

The middle panel serves as your main activity hub. Everything you create or join flows into this space.

4.2.1 Rppl – your personal activity stream and highlights

This section gives you a quick snapshot of your recent activity.

4.2.1.1 Recent Jams

Shows the most recent Jams you own or participate in.

4.2.1.2 Calls

Lists recent calls — active and past sessions.

4.2.1.3 Summaries

Displays summaries generated from your recent calls so you can revisit key points.

The right-hand panel houses context for whatever you’re viewing.

5. Deep dive into a Channel and its Jams

Opening a Channel shows all its Jams. Each Jam is a contextual workspace with video, files, discussion, and tasks.

5.1 Video

Play uploaded videos, jump to timestamps, view transcripts, and read the AI-generated summary.

5.2 Uploaded Files

Click files to open, preview, or download.

5.3 Discussion

A live, time-stamped comment thread that everyone on the Jam can see.

5.4 Video Summary

Rppl generates summaries from uploads to highlight themes, outcomes, and next steps.

5.5 Topic Sentiment

Set or adjust the discussion tone (positive, neutral, needs attention).

All Tasks created from the Jam are listed — each links back to the Jam for quick reference.
